Acceptable Use Policy

CapProof is designed to help field professionals capture notes, photos, checklists, site conditions, issues, and evidence reports responsibly.

This Acceptable Use Policy explains what is and is not allowed when using CapProof.

1. Use CapProof Responsibly

You may use CapProof to document:

  • Project conditions
  • Field notes
  • Inspection observations
  • Photos of work, damage, issues, or site conditions
  • Client requests
  • Follow-up items
  • Checklist responses
  • Evidence reports
  • Internal business records

You are responsible for making sure your use of CapProof is lawful, accurate, professional, and appropriate.

2. No Illegal or Harmful Use

You may not use CapProof to:

  • Break the law
  • Violate contracts or workplace rules
  • Infringe another person's privacy or rights
  • Harass, threaten, abuse, or defame others
  • Upload false, fraudulent, or misleading information
  • Create fake evidence
  • Misrepresent project conditions
  • Submit bad-faith claims
  • Use reports to deceive clients, insurers, employers, courts, agencies, or business partners

3. No Unauthorized Surveillance

CapProof is not a surveillance tool.

You may not use CapProof to secretly record, monitor, photograph, or track people where doing so is unlawful, prohibited, or inappropriate.

When documenting jobsites, homes, properties, or workplaces, you are responsible for obtaining any required permissions.

4. Respect Private and Sensitive Information

Avoid uploading unnecessary sensitive information.

This includes:

  • Government identification numbers
  • Financial account information
  • Medical information
  • Children's information
  • Highly personal images
  • Private communications without permission
  • Confidential business information you are not authorized to store

If sensitive information is necessary for a lawful business purpose, you are responsible for protecting it and limiting access.

5. Photos and Evidence

Photos should be relevant to the project, property, inspection, work performed, or issue being documented.

Do not upload photos that are:

  • Unlawfully obtained
  • Invasive or inappropriate
  • Misleading
  • Altered to deceive
  • Unrelated to the project
  • Intended to harass or embarrass someone

6. AI-Generated Reports

AI-assisted reports are drafts and summaries based on user-provided information.

You may not use AI-generated reports to intentionally mislead others, exaggerate claims, invent facts, or imply that CapProof has independently verified the evidence.

Before sharing or relying on a report, review it carefully.

7. Professional Communication

CapProof reports and notes should be used to support clear, professional communication.

Do not use CapProof to generate abusive, threatening, discriminatory, or bad-faith messages.

8. Security Rules

You may not:

  • Attempt unauthorized access
  • Share accounts improperly
  • Bypass security controls
  • Access another company's workspace without permission
  • Scrape, overload, reverse engineer, or attack the service
  • Upload malware or harmful files
  • Interfere with service operation

9. Workspace Responsibility

Workspace owners and admins are responsible for managing team access and making sure users follow this policy.

If a team member leaves, changes roles, or should no longer have access, the workspace owner is responsible for removing or updating that access.

10. Enforcement

If we believe this policy has been violated, we may:

  • Remove content
  • Restrict features
  • Suspend accounts
  • Terminate access
  • Preserve records where appropriate
  • Report unlawful activity if required or appropriate
